Preparing a contribution

Important: If you submit a question about your presentation, please cite your contribution ID and names of the first author at the beginning of your email (e.g. B2-Sy12-1140).

Oral presentations (invited symposia speakers and submitted contributions): Oral presentations have a time slot of 15 min (35 min for some keynote speakers), followed by a 2 min discussion and another 3 min to change rooms. We only accept PDF-format for oral presentations. We regret that the use of your own laptop will not be possible. Animation in PDF slides is done by building up slide content over successive pages. Your slides will be projected in full-screen mode. We’ve tested it: It is very reliable and virtually indistinguishable from “classic” presentations. It allows us to eliminate incompatibilities between our system and the plethora of versions and platforms you and your colleagues may be using. This decision is inspired by the observation that compatibility problems are still widespread at international conferences.

You can make a pdf presentation like this: Prepare your talk as usual in e.g. PowerPoint or Keynote, using regular screen proportions (1024 x 768 or 4:3). Include animations by building up text or schemes page-by-page. Save/print/export your presentation as pdf (landscape page orientation). Note that the pdf format excludes videos.
Talks are submitted on site (USB, CD, DVD) and must be named starting with your presentation ID (sent to you by Email) + speaker’s last name (e.g. B2-Sy12-1140-I-Johnson.pdf). Talks must be submitted and checked in the submission room at least two hours before the start of the respective session. When turning up in time, we can assist you in saving your presentation as a pdf.

Exception: Only those who are speaking during the first morning session on Sunday 21 Aug are requested to e-mail their talk to Nico Michiels send an e-mail on Saturday 20 Aug by 1800 at the latest, or must arrive at the venue early enough on Sunday (media center opens at 0800).

Posters. All posters will receive high visibility: They will be up for the duration of the meeting, there will be poster prizes both for both Essence and Regular posters (separately) and poster presenters will have the opportunity to personally invite people to meet them at their poster.

Please print your contribution ID at the top right of your poster (small script is OK). We recommend you to also add your email address or mobile number, plus a small picture of yourself, so that delegates can easily locate you during the meeting.

Essence Posters (A2 Size = 42 cm * 60 cm portrait) are placed strategically in the coffee break and exhibition area of the main venue building. We expect Essence Posters to provide a very brief and catchy snapshot of your research findings.

Regular Posters (A0 Size = 83 cm * 119 cm portrait) are put up in the lunch area and are expected to be attended by the author during one of 3 late afternoon poster sessions (you received your session by email).
